Most teams still collect station checks, scrap counts, and inspection notes on paper or in a spreadsheet that never meets the process it describes. Someone types it in later, the photo stays on a phone, and the part or tool that was involved is a free-text guess.
Process Forms keeps that capture inside Threaded. You define the form, attach it to map nodes or process groups, and people submit it from Reporting → Process Forms. Each submission becomes a record you can search, filter, and open on its own page, including nested answers from a sub-form.
#Key Concepts
Form — A named definition with a description, the fields people fill in, and optional links to map nodes, process groups, and work instructions. Saving a form creates a new version. The name field shows the current version, such as v3.
Record — One submission of a form: who submitted it, when, which node or group it was attached to, and the values. Records stay on the form version that was current at submit time.
Sub-form — A field that embeds another form. Use it when one submission should contain a repeating set of answers, such as several failed components on a single nonconformance. A form used as a sub-form cannot itself contain sub-form fields.
Assign automatically — On a Number field, Threaded fills the next integer when the record is submitted. The person submitting does not type it, and the value stays read-only afterward.
#Who can use it
Process Forms is part of Reports Pro. Owners and editors build forms, submit records, and correct a submitted record. Operators can open the forms list and submit; they do not edit the form or browse the records table.
#How It Works
#Opening Process Forms
Go to Reporting → Process Forms. Editors see two tabs: Forms and Records. The search box above the table is Search forms or Search records, depending on the tab. Turn on Show deactivated to include forms that no longer accept new submissions.
#Creating a form
On the Forms tab, click New. Threaded opens an untitled form on the Edit Form tab.
- Set Name and an optional Description.
- Under Node or process group, leave the form unattached or select the stations and groups where it applies. You can select more than one.
- Under Work instructions, optionally link instructions people should have open while they fill the form.
- Click Add field for a single question, or Add group to cluster related fields under one heading. Drag a field to reorder it. Each form needs at least one field.
- Click Save. A success banner confirms the save. If the version number changes, the page follows the new version so the link stays valid.
Open a form from the list to switch between Submit and Edit Form.
#Field types
Each field has a label, a type, and an optional Required switch. The types are:
- Short Text and Paragraph
- Number, with an optional Unit (for example mm)
- Dropdown, Multiple Choice, and Checkboxes
- Date
- Image
- User
- Process Node
- Part and Tool, which pick from your organization’s Parts and Tools catalogs. These types appear when those catalogs are enabled for the organization.
- Sub-form, which points at another form in the Sub-form picker. If no form is eligible, the editor explains that a sub-form cannot itself contain sub-form fields.
Text and number fields that people type (not ones Threaded assigns) can be marked Barcode compatible.
#Assigning the next number
On a Number field, turn on Assign automatically. A Start at box appears; the default is 1. The first submission receives that integer, and each later submission receives the next one. Leave the field blank when you submit. Threaded writes the number and keeps it read-only, including when an editor later corrects the record. Only number fields can use this switch, and a field cannot be both automatic and barcode compatible.
#Submitting a record
Open the form and stay on Submit. If the form is attached to more than one place, choose the node or group for this submission. Fill the fields, then click Submit.
Scan photo is on the Submit tab when the form has fields a photo can fill. Take a picture or pick an image. Threaded fills what it can. Review the values, then submit. Automatic number fields are skipped during the scan because Threaded assigns those on submit.
A Sub-form field starts empty. Click Add followed by the child form’s name to add one set of nested answers, and add another for the next item. You can add up to 50 nested records on one field. Remove a set with the close control on that card before you submit.
#Reviewing records
On the Records tab, filter with Any form and Any node or group, then search. Click a column header to sort. Image columns filter with Any, Has image, or Empty. Other value columns filter by the text in that column.
Click a row to open that record. The page title is the form name, with the submitted time, location (or Unattached), submitter, and form version underneath. Editors can click Edit to correct values. Automatic numbers are not rewritten on edit.
Nested submissions show on the parent record, each titled with the child form name and a number. Those titles open the child record. A child record shows a Parent chip that links back to the record it was submitted under. The records table shows the same parent chip on the row.
#Deactivating a form
On the Forms tab, open the row menu and choose Deactivate. Confirm in Deactivate this form? Deactivated forms cannot accept new submissions. Turn on Show deactivated, open the row menu, and activate the form again when you need it.
#Why This Matters
The record is taken where the work happens, against the station, part, and tool that were actually involved. Automatic numbers give every submission a stable identifier without a shared spreadsheet. Nested sub-forms keep a repeating check on the same record as the parent event, and the record page is the place to open that history later.
